How do I make a voice call?

Call a colleague or coworker by entering his telephone or extension number. alt text


Select a phone number and click a keyboard shortcut to launch a call, and this, from any application on your Desktop. alt text


Use “tel:” links. This works just like the “mailto:” tag does for email addresses, but you may now use “tel:” to place phone numbers via the OpenTouch Conversation application. alt text

How do I answer an incoming voice call?

A call pop-up notification is displayed when you receive a voice call. You can take the call, divert the call or answer with an instant message.

How can I initiate an IM/chat conversation?

An alert pops up on the screen when someone wants to chat with you: answer to the chat, decline the chat or start an audio call.

Managing Status & Presence

What do the colour bars represent under my contacts photos?

There are a number of predetermined presence options that you can select manually, or that are updated automatically (when you are engaged in a voice conversation, when you are not connected).

How do I view colleagues presence?

Presence shows the real-time availability of system (OpenTouch) contacts and dramatically reduces the time you will spend “blind-calling” colleagues and coworkers, only to get no answer, or to get forwarded to a voicemail service: presence has an immediate positive impact on the daily productivity.

There are several places within the OpenTouch Conversation application where you can view the presence of your OpenTouch contacts:

  • In the contacts list,
  • In the conversation history,
  • In a conversation screen,
  • When searching for a contact,
  • And each time you are opening a contact card.

Does my presence automatically change according to my calendar appointments?

OpenTouch Conversation for PC displays information about meetings and appointments scheduled for the current day. Calendar information is retrieved from Microsoft Exchange server if the system administrator configures it to be available (per user configuration).

Calendar information is an additional text message added next to the user presence status.

It uses the start and end times of meetings or appointments in your calendar to provide the following status information:

  • Busy until (time) or Busy for the next hours, if the meeting/appointment has started
  • Free until (time) or Free for the next hours, otherwise

Note: there is no calendar presence information if a favorite contact is offline or appears offline.

Calendar information is displayed in contacts list and conversation history.

How do I manually change my presence status?

OpenTouch Conversation makes it easy for the user to manually change the presence and inform coworkers of its availability.

Note: your presence state cannot be changed if you are engaged in a voice conversation

Can I add a custom message to my presence status

User is able to add a custom message to the current presence status. This message will appear on the contact card when viewed by others. This is a great way to provide an additional piece of information about what you are currently doing, or indeed, where you are for example.

Managing Contacts

What does a contact card do?

The Contact card is a great way to initiate a conversation with a co-worker or team members. In addition to the presence and custom message, it also displays organisation information (company, job title, phone numbers, etc.) and the conversations you had with that contact.

Start a conversation by opening a contact card from the conversation history, from the contacts list or from a directory lookup:

How do I search for contacts?

When searching for contacts, OpenTouch Conversation looks:

  • Either at the contacts stored on the Personal Computer
  • A predictive search is performed on personal Microsoft Outlook contacts, IBM Notes contacts and favorite contacts
  • Or contacts stored in corporate directories

Can I add contacts as favourites?

OpenTouch Conversation provides a list of contacts that user corresponds with most frequently. The quick access to a favorite contact allows the user to instantly start a conversation (audio, chat, sharing, email). You can add anyone from your company or outside your organisation.

Can I create a new favourite contact?

Besides contacts from your organisation or those stored on your computer, OpenTouch Conversation lets you create new favourite contacts (person's name and phone number).

Scheduling & Joining Meetings

How can I schedule a new meeting?

In the Settings tab, specify following parameters:

  • Meeting name
  • Meeting type: can be Scheduled or Reservationless (a reservationless meeting has no duration, no recurrence, but an end date)
  • Meeting profile: can be Meeting, Webinar, Training or Conference call
  • Start date and hour
  • Duration
  • Time zone
  • Recurrence pattern

A scheduled meeting will appear in your meeting list, conversation wall and Microsoft Outlook calendar.

A reservationless meeting will appear in your meeting list and conversation wall.

Add a password if required.

In the People tab, add the attendees required for the meeting.

You can:

  • Add one or several participants to the meeting (favorite contacts, local or corporate contacts, use email addresses)
  • Move one or several participants to the Leader role or Participant role
  • Remove one or several people from the meeting

Account Management

How do I access my UC settings?

Click on the cog wheel to access your settings.

Can do I update my photo avatar?

Set your photo and general options of the application. Photo/Avatar window allows changing your picture that other users will see. You can upload and manage up to 16 pictures or avatars.

How can I connect my smartphone?

Under Settings and Start menu, you can "Generate a QR Code" then scan the code with your smartphone to connect your devices.

How can I change how a name is displayed in my contacts?

Use Settings and General menu to change how your names are displayed.

How can I activate or deactive my call overflow?

Use Settings and Overflow to Activate (or deactivate) the call overflow to your associate:

  • Call overflow can be activated:
  • When phone is busy
  • On no reply
  • When phone is busy or no reply

How can I change my ringtone?

Use Settings and Alerts and Sounds to:

  • Select the ringtone for computer calls.
  • Click the play button to hear a sample ring.

How can I modify the settings of my audio device?

OpenTouch Conversation automatically detects USB audio devices (including Bluetooth devices with USB dongles) at each startup or when a device is plugged, and selects the most appropriate device. If you do not like this selection, you can override it on this panel.

This tab is displayed if your computer is used for making and receiving phone calls.

  • Drag the sliders to adjust the levels of the microphone and speakers of the device you want to use for making computer calls.
  • Use the progress bar to test the microphone volume.
  • Click the play button to hear the sample ring (defined in tab “Alerts and sounds”)
  • Configure a secondary device that can ring when you get a call. This is particularly useful when you have, for example, a headset configured as the primary device but need laptop speakers to handle the incoming call.
  • Turn on Acoustic Echo Cancellation if you or the person you are talking to is hearing an echo. This parameter is automatically deactivated if you are using a headset or speakerphone for example, and activated if you are using the microphone and speakers of the computer.
